Gmaven PAIA Manual

Manual of Gmaven (Pty) Ltd under section 51 of the Promotion of Access to Information Act, 2000 (PAIA), updated for the personal-information requirements added by POPIA. It forms part of the Gmaven website set together with our Website Terms of Use, Website Privacy Policy, and Cookie Policy.


1. Introduction

This manual is published in terms of section 51 of the Promotion of Access to Information Act, 2000 (Act No. 2 of 2000) (PAIA), as updated to reflect the Protection of Personal Information Act, 2013 (POPIA). It tells you how to request access to records held by Gmaven (Pty) Ltd and how we process personal information.

4. Records automatically available (section 52)

At this stage, no notice has been published on categories of records that are automatically available without a request.

5. Records held by Gmaven

We hold records in the following broad categories. Listing a category does not mean access will be granted; access is decided under PAIA.

  • Company and secretarial records: incorporation documents, the Memorandum of Incorporation, board minutes, statutory registers, and officer appointments.
  • Financial records: annual financial statements, accounting and banking records, tax records, invoices, and the asset register.
  • Tax and statutory records: PAYE, VAT, UIF, skills-development, and related compliance records.
  • Personnel records: employment contracts, payroll, leave, training, and disciplinary records.
  • Product, data, and customer records: records relating to the CRE software and Data services, customer agreements, and the commercial-property and business data we process (see section 7 on personal information).
  • Operational records: website, marketing, supplier, and general business records.

6. Records held under other legislation

Records are also kept under, among others, the Companies Act, 2008, the Tax Administration Act, the Value-Added Tax Act, the Income Tax Act, the Labour Relations Act, the Basic Conditions of Employment Act, the Employment Equity Act, the Compensation for Occupational Injuries and Diseases Act, the Unemployment Insurance Act, and the Skills Development Act.

7. Personal information we process (POPIA)

As required by the POPIA amendments to PAIA, we record that Gmaven processes personal information including: the contact and enquiry details of website users; employee and contractor information; supplier and customer contact information; and, as part of our products, business and commercial-property information including the business contact details of decision-makers. The purposes, recipients, and safeguards are described in our Website Privacy Policy, which forms part of this manual by reference. Data subjects may exercise their POPIA rights by contacting the Information Officer at officer@gmaven.com.

8. How to request access to a record

A request must be made on the prescribed PAIA request form for private bodies and sent to the Information Officer at the address or email above. The form must identify the record and the requester, the right you seek to exercise or protect, and why the record is needed for that right, and (where made for another person) proof of your authority.

  • A requester seeking their own personal information pays no request fee.
  • Any other requester pays the prescribed request fee, and access fees may apply, per the PAIA regulations.
